Filling out the RESIDENTIAL IMPROVEMENT APPLICATION

Submit your application 30 days in advance of the date you want to or are scheduled to start work.     (Application process flowchart)

THE APPLICATION PROCESS:
If a City Permit is not required for the Improvement you want to make:

    1.  Be sure that your plans will meet the specifications for approval cited in the Autumn Wood CC&Rs. See ARTICLE VI, Architectural Control - Section 6.6, Requests for Architectural Review, and Section 6.11, Architectural Approval.

    2.  Complete the form, Autumn Wood Homeowners Association Residence Improvement Application [DOC] [PDF].

    3.  Under "Please describe briefly the proposed modification", include as much of the following information as applicable: "the nature, kind, color, shape, dimensions, materials and location of the improvement."  If necessary, use additional pages. If applicable, include photocopies of all drawings, specification sheets, etc.  This is the basis for your request.

    4.  Discuss your intentions with all homeowners whose property shares any portion of a property line with yours.

Note:  Additional signatures may be required, subject to the discretion of the Board, concerning other affected neighbors.  For example: neighbors across the street facing a intended artificial turf, a new security light, or the remodeling of the front of a residence.

    5.  Under "Adjacent Property Owner Approval", each property owner indicates their acknowledgment of your proposed modification and then signs off. Their original signatures are required.

    6.  Return the completed form to the Architectural Control Committee or the property manager. For detail of the approval process, please see the description under Approval Process below.

    7.  You must wait to begin your project until you have been notified about the Autumn Wood Homeowners Association Board of Directors' decision in writing.  The Board may levy a processing fee for those applications that submitted after the work is commenced or completed.

By stated Board of Directors policy, all approvals expire within six (6) months of date granted.  If necessary, you may apply for an extension in writing before the expiration date, explaining the reasons for your request.

If a City Permit is required for the improvement you want to make:
This is a three-stage process:

Stage one:

1-1.  Be sure that your plans will meet the specifications for approval cited in the Autumn Wood CC&Rs. See ARTICLE VI, Architectural Control - Section 6.6, Requests for Architectural Review, and Section 6.11, Architectural Approval.

1-2.  Complete the form, Autumn Wood Homeowners Association Residence Improvement Application [DOC]  [PDF] (as instructed above).

Before you submit your plans to the City: submit the following to the Architectural Control Committee for preliminary approval:

      a. completed Residence Improvement Application,

      b. copies of your plans.

1-3.  Please wait to submit your plans to the City until you receive Preliminary Approval from the Autumn Wood Homeowners Association Board of Directors in writing.  The City Planning Department will ask for this information.

By stated Board of Directors policy, all approvals expire within six (6) months of date granted.  If necessary, you may apply for an extension in writing before the expiration date, explaining the reasons for your request.

Stage two:

2-1. After the Board has given preliminary approval, submit  your plans to the City:

If the City requires any changes to your plans, you must resubmit the changed plans to the Architectural Control Committee for another preliminary approval. This process of resubmittal is to be repeated until the City has accepted your plan: for the "Permit Application."

2-2.  Follow the City's application procedures.

Note: If a zone variance is required, notify the Architectural Control Committee of the hearing date at least one week in advance.

2-3.  When the City has accepted your plans for the '"Permit Application," submit a photocopy of the City's "'Inspection Record Checklist" to the Architectural Control Committee. Final approval will be contingent upon the City's issuance of the "Permit Application".

2-4.  Please wait to begin your project until you receive Approval to Start Project from the Board of Directors: in writing.

By stated Board of Directors policy, all approvals expire within six (6) months of date granted.  If necessary, you may apply for an extension in writing before the expiration date, explaining the reasons for your request.

Stage three:

3-1.  When you have received your copy of the City's: "Permit Application", submit a photocopy to the Architectural Control Committee. At that point, the Architectural Control Committee will recommend that final approval be given.

3-2.  The Board of Directors or the Architectural Control Committee has the right to request an inspection of the improvement when it is completed.  After the inspection is made, the HOA-assigned inspectors will sign the Completed Project Final Inspection Sign-off on the Autumn Wood Homeowners Association Board of Directors Residence Improvement Application form.

By stated Board of Directors policy, all approvals expire within six (6) months of date granted.  If necessary, you may apply for an extension in writing before the expiration date, explaining the reasons for your request.

THE APPROVAL PROCESS:

  • When the Architectural Control Committee receives a completed Residence Improvement Application [DOC]  [PDF], the members confer to consider whether the requested modification conforms with the standards set by the CC&Rs and by established Board of Directors policy.
  • When the members of the Committee have reached a decision, they take the completed Application to the next meeting of the Board of Directors and recommend that the Board either approve or disapprove the application.
    • Note:  Approval may be subject to certain contingencies.

  • The Board at that time has the right to approve or disapprove the Application. Notification of the Board's approval or disapproval will be forwarded to the homeowner in writing.
  • If the application has been disapproved (denied), the Board must clearly explain why on the form and invite the homeowner to attend a meeting of the Board to discuss the matter.
